How to write a cover letter effectively

Nobody likes job searching. Scouring online job listings, learning how to write a resume, preparing for nerve-wracking interviews: none of it is fun. For many, the most difficult part of the process is writing an effective cover letter. There is so much conflicting advice out there that it's hard to know where to start.

Do you really need it, especially if you are applying through an online application system? Our Fed Supply experts will answer all your queries today.

How to write a cover letter: what the experts say

The first question we usually ask ourselves is: should we even write a cover letter? The answer is almost always yes. Of course, there may be times when you submit your application online and are not able to include a cover letter, but if possible, send one. For example, if you are submitting a spontaneous application, it is vital that you include a cover letter with your resume to give your application some context.

Indeed, writing a cover letter is your best chance of grabbing the human resources or hiring manager’s attention and an important opportunity to stand out from the crowd. And in an increasingly tight job market, standing out is essential.

How to write a cover letter: 6 tips

However, as anyone who has ever written a cover letter knows, it is not easy to get it right. Here are some tips to help you.

1. Do your research first

Before you start writing, learn about the company and the position you are applying for. Of course, you should carefully read the job description, but also browse the company's website, its executives’ Twitter feeds and its employees’ LinkedIn profiles. This research will help you make your cover letter stand out when writing it. You should avoid sending a generic letter. It will also help you find the right tone. First and foremost, consider the culture of the organization you're applying to so that you align with it.

If possible, get in touch with the hiring manager or another person you know at the company before writing your cover letter. You can send an email or message on LinkedIn with a relevant question about the position.

You can then begin your letter by referring to this interaction. Of course, it's not always possible to contact someone, or you may not get a response. That's okay. It's still worth a try.

2. Focus on the future

While your CV is supposed to outline your experience and background, the cover letter should focus on the future and what you want to do and bring to the company.

If you’re deciding to make a career change, the cover letter is the perfect place to put your reasons for making this choice. Think of it as an opportunity to sell your transferable skills. You can then add a sentence or two about your background and relevant experience, but don't just repeat your CV.

Chances are the hiring manager or recruiter will read a stack of these letters, so you need to really grasp their attention. But, in order to do this, don't try to be funny and refrain from using clichés. Say something direct and punchy.

If you have a personal connection to the company or to someone who works there, make sure to mention that in the first sentence or two as well. And always address your letter to someone directly, not the company as a whole.

3. Highlight your personal value

Hiring managers are looking for people who can help them solve problems. Based on your previous research, demonstrate your knowledge of the company's business and some of the challenges it faces.

At Fed Supply, we note that two skills are relevant to almost every job today: adaptability and the ability to learn quickly. If you have brief examples that demonstrate these skills, include them.

4. Demonstrate your enthusiasm

When you don't get hired, it's usually not because of a lack of skills. It's because people didn't believe your story, that you truly wanted the job, or that you knew what you were getting into.

Hiring managers will go for the candidate who has made it seem like this is their dream job. So, make it clear why you want the job. Enthusiasm conveys personality.

Don't bother applying if you're not excited about some aspect of the company or the position. At the same time, don't overdo the flattery and don't say things you don't mean. Authenticity is crucial. Of course, it may be difficult to discern your own tone in writing, and you may need to have someone proofread a draft.

5. Keep it concise

Most of the advice given says that you should not exceed one page. But it is perfectly acceptable to write a shorter cover letter. It should be brief enough that someone can read it at a glance. You need to cover a lot of ground, but ideally you should do it succinctly.

6. When you can’t send a cover letter

Many companies now use online application systems that do not allow for the submission of a cover letter. You may be able to find a way to include one in the same document as your CV, but this is not a guarantee, especially because some systems only allow data to be entered in specific boxes.

In these cases, use the format given to you to demonstrate your ability to do the job and your enthusiasm for the role. If possible, try to find someone to whom you can send a brief follow-up email highlighting a few key points about your application.
